We want everyone who supports us, or who comes to us for support, to feel confident and comfortable with how any personal information you share with us will be looked after or used. This Privacy Policy sets out how we collect, use and store your personal information (this means any information that identifies or could identify you).

What personal data we collect and why we collect it

Can You Relate CIC ia a registered company ( 11559298 ) our Privacy Policy may change so please remember to check back from time to time, this is version 2.0 was last updated on the 01st September 2019. Where we have made any changes to this Privacy Policy, we will make this clear on our website or contact you about any changes.

We may collect the following information:
• Name and other details regarding gender, sexuality and heritage
• Contact information including email address and/or business details
• Demographic information such as postcode, preferences and interests
• Other information relevant to client or customer surveys and/or offers

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

Our contact forms (where applicable) can be found thoughout our website to send us a general enquiry or to make a referral to us for your self, or someone that you may be supporting. We collect only the information that is necessary to provide the services that we offer, and our website is secure.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Who we share your data with

The personal information we collect about you will mainly be used by our staff (and volunteers) at Can You Relate CIC so that they can support you.

We will never sell or share your personal information with organisations so that they can contact you for any marketing activities. Nor do we sell any information about your web browsing activity.

Can You Relate CIC may however share your information with our trusted partners and suppliers who work with us on or on our behalf to deliver our services, but processing of this information is always carried out under our instruction. We make sure that they store the data securely, delete it when they no longer need it and never use it for any other purposes. Some examples of where we may share your information are with our fulfilment partners who help to create and send information to you to reduce our costs, with our partners who help us to process donations and claim Gift Aid and our partners who help us to manage our social media accounts.

We enter into contracts with these service providers that require them to comply with Data Protection Laws and ensure that they have appropriate controls in place to secure your information.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

Where the function is available for users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

We keep your information for as long as is necesary to provide the service we are providing. Once that service has ended all information is destroyed inline with General Data Protection Regulations 2018 (GDPR) and The Data Protection Act 1998 (DPA). We may also take into account guidance from any regulatory bodies.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you in line with GDPR. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

You have the right to request access to a copy of the personal information that we hold about you, along with information on what personal information we use, why we use it, who we share it with, how long we keep it for and whether it has been used for any automated decision making. Where we send your data

Visitor comments may be checked through an automated spam detection service, and if the service is available on our website all comments will be reviewed for satisfactory content before being posted by our website administrator.

We will only contact you about our work and how you can support Can You Relate CIC by phone, email or text message, if you have agreed for us to contact you in this manner.

However, if you have provided us with your postal address we may send you information about our work and how you can support Can You Relate CIC by mail unless you have told us that you would prefer not to hear from us in that way. Our preferred medium of contact will always be email unless you have expressed prefernces otherwise.

As an organisation we have full policy & procedures that guide out staff and volunteers (data processors) on how best to handle your information.
